DrachenFest US employs a team of professional videographers and photographers, as well as social media influencers, who make up our official Media Team. These individuals are in place so that participants may enjoy the event without the distraction or disruption of stepping out-of-game to record photos or videos. The Media Team releases the photos to the public following the event so that participants can share their memories of the event.
Purchasing a ticket to DrachenFest US and entering the event premises constitutes your consent to be photographed, filmed, and/or otherwise recorded by the official DrachenFest US professional Media Team, and to the release, publication, exhibition, or reproduction of any and all recorded media of your appearance, voice, and name for any purpose whatsoever in perpetuity in connection with DrachenFest US and its initiatives. This may include use on websites, in social media, news, and advertising. You waive and release any right to inspect or approve the photo, video, or audio recording of you, any claims for invasion of privacy, violation of the right of publicity, defamation, and copyright infringement, or for any fees for use of such recorded media.
It is the responsibility of participants who do not want their images captured by the official Media Team to notify those photographers or videographers when in their presence. The Media Team member will happily do their best to comply with your request once made aware! Please understand this may be difficult or impossible in some instances, such as Opening Ceremony crowd shots or during the final battle of the event.
Official Media Team members and professional social media influencers will ALWAYS clearly be wearing a Media Team press badge when capturing media. Look for this badge first should you have any questions about anyone visibly holding a camera or other recording device. In addition, Media Team members will also be wearing official hats and shirts as much as possible during media coverage shifts to help with visibility.
Participant Guidelines
Pennsylvania’s two-party consent law requires that all media taken by participants must have the express consent of every individual involved, regardless of when or where the image is captured while at Coopers Lake Campground for DrachenFest. This legal consent is the responsibility of the participant taking the photo, video, or audio recording.
Participants should be sensitive to the game around them when capturing media and never be intrusive or break others’ immersion to request the necessary consent. Do not interrupt roleplay, combat, or other in game interactions to ask if you can take someone’s picture. Wait for such moments to conclude before asking nicely, and kindly respect those who would prefer you not take their picture.
Prior to Opening Ceremonies on Wednesday evening and after Closing Ceremonies Saturday night, participants are welcome to capture media for their personal use provided they have attained consent from all involved. This is a great time to get photos and videos of all the incredible props, costumes, and decorations you have all been building, as well as a good time to do group photos with your friends.
From Opening Ceremonies until the event ends Saturday night, participants may only capture photos or videos within their own camp and with the required consent of those being photographed. This means that Blue Camp players may only take photos in Blue Camp, Red in Red, Bazaar players in the Bazaar, and so forth.
Participants may capture photos and video in camps that are not their own only when inside private structures such as a tent, building, or pavilion, or in a fully secluded area such as in the woods out of sight, provided the appropriate required consent has been obtained.
tl/dr - Participants
All media (photo, video, audio) captured by participants requires the consent of everyone being captured. Participants can freely capture media until the beginning of Opening Ceremonies on Wednesday evening and after Closing Ceremonies Saturday night. Between that time, participants can capture media only within the confines of their own dragon’s camp (or for Bazaar participants, only within the Bazaar), or while in private spaces out of sight. Be discreet, respectful, and considerate when capturing media and asking for consent.
In-Game Media Capture Exception
“Nest of Times” is an in-game newspaper operating as an enterprise in the Bazaar. This enterprise has been issued a press pass by the Media Team granting them specific DrachenFest US media capturing permission limited to photography only – not video. Images captured by “Nest of Times” enterprise members are for use only in the printed in-game newspaper published by the enterprise during DrachenFest US and may not be distributed in any other capacity.
Enterprise members with the “Nest of Times” press pass must be discreet and respectful when taking photos. They must avoid disrupting immersion and always respect any participants’ requests to not take their photo.
Media Team and Influencer Guidelines
All official Media Team members must have a media agreement signed and on file with the DrachenFest US Board of Directors before entering the event.
All official social media influencers must have a contract signed and on file with the DrachenFest US Board of Directors before entering the event.
Media Team members and official influencers must ALWAYS be wearing their press badge in a visible manner at any time during the event they are capturing media. They must also kindly accept any requests from participants to not capture that person in recorded media, and do their best to accommodate that person.
Official photographers and videographers should also wear their out-of-game DrachenFest Media Team hats and shirts during official shifts.
Staff Guidelines
Staff members of DrachenFest US who are not members of the Media Team or Board of Directors must follow the General Guidelines and Participant Guidelines concerning capturing video, audio, or photographic recording unless given express and specific permission from a member of the Board of Directors, the Marketing Coordinator, or the Media Coordinator.
Staff members must always note they are not speaking on behalf of or as a representative of DrachenFest US when giving their opinions in public forums of any medium, including social media.
All inquiries from the press or external media outlets, including television, newspaper, radio, podcasts, or non-contracted social media influencers, should be immediately referred to a member of the Board of Directors or an approved representative.
Coopers Lake Campground is private property, and as such, inquiring media representatives should never be left unattended nor allowed to enter the event site unaccompanied at any time. Kindly ask them to wait in the General Store or Ops area until a Board Member or their representative is able to handle the situation.
