The TLDR of this is that you can, with some very specific rules and guidelines, which are especially tight during the event.
Purpose:
The purpose of this policy is to create a safety net for all participants in regards to unlawful use of imagery and media capture and cover any and all liabilities that participants and or DrachenFest US may incur due to such an act. To clarify, our media waiver applies only to DrachenFest US as an organization and the Photographers and Videographers under our insurance. Though the event is on private property, Pennsylvania is a two party consent state, and all audio recordings must have the consent of everyone involved. This is non negotiable, and makes filming by participants difficult, but not impossible (See rules below). To further clarify, you are not covered under our waiver and media release should you accidentally or purposefully capture individuals on film or camera that have not given you their consent. It is difficult to manage such negotiations during play without being disruptive or inviting user error, and it is with these issues in mind that we have established the following rules and guidelines for media capture and release:
During early arrival days, before the event officially starts on Wednesday, and after it ends on Saturday: You may capture media at will during this time provided you have the consent of those involved. Be thorough in obtaining consent. This is a great time to capture the cool stuff you’ve been building, and do group photos.
During the event (Wed-Sat, Once the ritual starts): You may capture media with the consent of everyone involved, but only inside of private structures.
Private Structure: A tent or pavilion with at least one side of coverage. The backdrop of any such media must be the interior wall/s, and unable to capture outside gameplay, structures, or individuals.
You may not break immersion with your media capture: You must be unobtrusive or avoid media capture entirely while visible to others who are playing the game (Filming under a shade or open pavilion). Repeated failure to do so may result in you being disinvited from the event.
Exceptions:
The Press Badge
A highly visible global press pass issued to hired videographers, photographers etc. which allows them to acquire media content in multiple formats, all of which are via contract with the DrachenFest organization and for the use of the marketing team exclusively.
Private photo sessions
Contracted professional photographers are available during game at player expense and are subject to the availability of the photographers.
Nest of Times
Players with the “Nest of Times” newspaper press pass are given the ability to take discreet pictures with their phones if allowed by the enterprise lead & marketing team, for the sole purpose of generating in-game content for the newspaper as print material. As print is the only medium by which content will be distributed in game, players with this press pass have no need to take videos or audio recordings of the game
